Legacy Mail for Windows - App Setup
Automatic Account Setup (Recommended)
Windows Mail (Legacy) in Windows 10 can automatically configure your email account using EZBizMail’s secure Auto-Configuration system. This is the fastest way to add your email account.
- Open the Mail app in Windows 10.
- Click Accounts → Add account.
- Select Other account.
- Enter your Email Address, Password, and Account Name.
- Click Sign in.
- Windows Mail will automatically detect and apply the correct server settings.
If setup completes successfully, your email account is ready to use.
Note: Auto-setup requires your domain’s Autodiscover / Autoconfig

Emails stored in your Inbox and Sent folders are automatically retained for 180 Days and other systems folders (Trash/Spam etc) are retained for 30 days to help manage disk usage. To keep messages longer, use POP3 to download your email and save a local copy or when using IMAP move messages into a custom folder such as “Saved Email”.
Manual Setup - Windows Mail (Legacy) – POP3 or IMAP Setup
Overview
This guide explains how to set up your email account in the older Windows Mail app (the built-in Mail app from Windows 10 and earlier). This app can connect using both POP3 and IMAP with SSL/TLS encryption.
Replace {YOUR-SERVER-ID} with the server ID shown in your welcome email (for example ez22) and use your full email address, such as address@example.com.
POP3 vs IMAP – which should I choose?
- POP3 (recommended if you want local backups and lower server usage)
- Downloads mail to your PC and stores it locally.
- Uses less server disk space over time.
- Good if you mainly use a single computer and want an archive.
- IMAP (recommended if you use multiple devices)
- Keeps email on the server and synchronizes across all your devices.
- Uses more server storage.
- What you read, move, or delete on one device is mirrored on the others.

Step 1 – Open Windows Mail and add an account
- Open the Mail app on your Windows PC.
- If this is your first time using Mail, you may see a welcome screen. Click Add account.
- If you already have accounts configured, click the Settings icon (gear) at the bottom left, then click Manage accounts → Add account.

Step 2 – Choose “Other account”
When prompted to choose an account type, select:

Step 3 – Enter your account details
- Email address:
address@example.com - Full name: Your display name (what recipients will see)
- Password: Your email password
Click Sign in. If Mail cannot detect your settings automatically, it will show an option such as Advanced setup or ask for more details. Choose the advanced/Manual setup option.

Step 4 – IMAP or POP3 advanced settings
On the advanced setup screen, select either:
- Internet email (IMAP) – for multi-device syncing, or
- Internet email (POP3) – for local archiving and lower server usage.
Internet email settings
- Account name: Any label you like (e.g. “Work Email”).
- Your name: The display name recipients will see.
- Incoming email server:
{YOUR-SERVER-ID}.ourcontrolpanel.com - Account type: IMAP4 or POP3 (choose one).
- Email address:

address@example.com - Password: Your email password
- Outgoing (SMTP) email server:

Step 5 – Security and authentication options
Make sure the following checkboxes/options are selected:
- Outgoing server requires authentication
- Use the same username and password for sending email
- Require SSL for incoming email
- Require SSL for outgoing email
Windows Mail will automatically use the correct ports when SSL is enabled: 993 (IMAP), 995 (POP3), and 465 (SMTP).
Step 6 – Finish setup and test
- Click Sign in or Done to save your settings.
- The Mail app will try to connect to the server and sync your Inbox.
- Compose a test email to your own address and send it.
- Verify that the message appears in your Inbox and that replies send successfully.
Troubleshooting
- Cannot connect: Double-check that you are using
{YOUR-SERVER-ID}.ourcontrolpanel.comand that SSL is enabled for both incoming and outgoing mail. - Can receive but not send: Confirm that “Outgoing server requires authentication” is enabled and that your username is your full email address.
- Password errors: Reset your email password in your control panel and update it in the Mail app.
- Certificate warnings: Ensure the hostname matches
{YOUR-SERVER-ID}.ourcontrolpanel.combefore accepting.
