Outlook Mobile for iPhone/iPad - App Setup

Outlook app email setup screen on iPhone and iPad

Automatic Account Setup (Recommended)

Outlook Mobile for iPhone and iPad can automatically configure your email account using EZBizMail’s secure Auto-Configuration system. This is the fastest way to set up your email on iOS devices.

  1. Install and open the Outlook app on your iPhone or iPad.
  2. Tap Add Account.
  3. Enter your Email Address and tap Continue.
  4. Enter your Email Password when prompted.
  5. Outlook will automatically detect and apply the correct server settings.
  6. Tap Done to complete setup.

Once setup completes, your email account is ready to use on your device.

Note: Auto-setup requires your domain’s Autodiscover / Autoconfig DNS records to be configured correctly. If automatic setup fails, follow the Manual Setup Instructions below.

Emails stored in your Inbox and Sent folders are automatically retained for 180 days. Other system folders (such as Trash and Spam) are retained for 30 days to help manage disk usage. To keep messages longer, use POP3 to download and save a local copy, or when using IMAP, move messages into a custom folder such as “Saved Email”.

⚠ IMPORTANT: The Outlook app for iPhone and iPad does NOT support POP3.
If you prefer POP3 so you can save local backups or conserve server space, please use another app such as the built-in Apple Mail app or Thunderbird for iOS (when available) that supports POP3.

Overview

This guide explains how to set up your email account in the Outlook app on iPhone or iPad using IMAP with SSL/TLS encryption. Outlook Mobile on iOS is designed for IMAP and Exchange and does not offer POP3 settings.

Replace {YOUR-SERVER-ID} with the server ID shown in your welcome email (for example, ez22), and use your full email address, such as address@example.com.

Note: Emails stored in your Inbox and Sent folders are automatically retained for 180 Days and other systems folders (Trash/Spam etc) are retained for 30 days to help manage disk usage. To keep messages longer, move messages into a custom folder such as “Saved Email”.

Step 1 – Install Outlook from the App Store

  1. On your iPhone or iPad, open the App Store.
  2. Search for Microsoft Outlook.
  3. Tap Get, then Install, and wait for the app to download.
  4. Open the Outlook app.

Step 2 – Start adding an account

  1. If this is your first time opening Outlook, you will be prompted to add an account immediately.
  2. If you already have an account, tap your profile icon in the top-left corner.
  3. Tap the gear icon in the bottom-left to open Settings.
  4. Tap Add Mail AccountAdd an email account.

Step 3 – Enter your email address

  1. In the email field, type your full email address, for example address@example.com.
  2. Tap Add Account or Continue.

Outlook may try to set up the account automatically. If it does not connect, or if it creates the account as an Outlook/Exchange account instead of IMAP, choose the option for Set up account manually or Change account provider and proceed with IMAP.

Step 4 – Choose IMAP and open advanced settings

  1. When asked how you want to connect, select IMAP.
  2. Tap IMAP and look for an option such as Advanced settings, IMAP account settings, or similar wording.
  3. This will allow you to enter the incoming and outgoing server details manually.

Step 5 – Enter IMAP (incoming) settings

  • IMAP hostname / server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • IMAP port: 993
  • Security type: SSL/TLS
  • Username: Your full email address (address@example.com)
  • Password: Your email password

Step 6 – Enter SMTP (outgoing) settings

  • SMTP hostname / server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • SMTP port: 465
  • Security type: SSL/TLS
  • Requires sign-in / authentication: Yes
  • Username: Your full email address (address@example.com)
  • Password: Your email password

Ensure that Use the same username and password for sending mail (or similar option) is enabled.

Step 7 – Save and test the account

  1. Tap Done or Checkmark to save your settings.
  2. Outlook will verify the connection to the server.
  3. Once complete, you should see your inbox load in the Outlook app.
  4. Send an email to yourself to confirm that you can both send and receive messages.

Troubleshooting

  • Cannot connect or login fails: Double-check your email address, password, and server name ({YOUR-SERVER-ID}.ourcontrolpanel.com).
  • Receiving works but sending fails: Confirm SMTP port 465 with SSL/TLS is selected and that authentication is required.
  • Account added as Outlook/Exchange instead of IMAP: Remove the account, then add it again and choose Set up account manually, then IMAP.
  • Need POP3? Outlook Mobile for iOS does not support POP3. Use the built-in Apple Mail app or another POP3-capable mail app instead.
