Automatic Account Setup (Recommended)

Apple Mail on iPhone and iPad can automatically configure your email account using EZBizMail’s secure Auto-Configuration system. This is the easiest way to set up your email on iOS and iPadOS devices.

  1. Open Settings on your iPhone or iPad.
  2. Tap MailAccounts.
  3. Tap Add Account.
  4. Select Other.
  5. Tap Add Mail Account.
  6. Enter your Name, Email Address, and Password.
  7. Tap Next.
  8. Apple Mail will automatically detect and apply the correct server settings.

If setup completes successfully, your email account is ready to use on your device.

Note: Auto-setup requires your domain’s Autodiscover / Autoconfig DNS records to be configured correctly. If automatic setup fails, follow the Manual Setup Instructions below.

Emails stored in your Inbox and Sent folders are automatically retained for 180 days. Other system folders (such as Trash and Spam) are retained for 30 days to help manage disk usage. To keep messages longer, use POP3 to download and save a local copy, or when using IMAP, move messages into a custom folder such as “Saved Email”.

Manual Setup - Apple Mail for iPhone/iPad – POP3 or IMAP Setup

Overview

This guide explains how to set up your email account using the built-in Apple Mail app on your iPhone or iPad. Apple Mail supports both IMAP and POP3 with SSL/TLS encryption.

Replace {YOUR-SERVER-ID} with the server ID shown in your welcome email. (Example: ez22) Use your full email address such as address@example.com.

Should I use POP3 or IMAP?

  • POP3 (recommended if you want permanent local backups)
    • Downloads email to your device and stores it indefinitely.
    • Uses less server disk space.
    • Great if you want to ensure long-term storage.
    • You can set “Leave a copy on the server” for 7–14 days if you use multiple devices.
  • IMAP (recommended for multi-device syncing)
    • Syncs email across all devices.
    • Requires more server space.
    • What you see on one device appears on all devices.

  • Port: 993
  • Security: SSL/TLS
  • Username: address@example.com
  • Password: Your email password

Incoming mail (POP3)

  • Server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 995
  • Security: SSL/TLS
  • Username: address@example.com
  • Password: Your email password

Outgoing mail (SMTP)

  • Server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 465
  • Security: SSL/TLS
  • Authentication: Required
  • Username: address@example.com
  • Password: Your email password

Step 1 – Open Settings

  1. On your iPhone or iPad, open the Settings app.
  2. Scroll down and tap Mail.
  3. Tap Accounts.
  4. Tap Add Account.

Step 2 – Choose “Other”

You will see a list of providers (iCloud, Gmail, Outlook, Yahoo, etc.). Since EZBizMail uses IMAP/POP3, tap:

Other → Add Mail Account


Step 3 – Enter your account details

  • Name: Your name
  • Email: address@example.com
  • Password: Your email password
  • Description: Anything you like (Work Email, EZBizMail, etc.)

Step 4 – Choose IMAP or POP

At the top of the screen, you will see two tabs:

IMAP | POP

Select the one you prefer. See POP3/IMAP recommendations above.


Step 5 – Enter server settings

Incoming mail server

  • Host Name: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • User Name: address@example.com
  • Password: Your email password

Outgoing mail server (SMTP)

  • Host Name: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • User Name: address@example.com
  • Password: Your email password

Step 6 – Save and complete setup

  1. Tap Next.
  2. Your iPhone/iPad will verify the server settings.
  3. If prompted about SSL, choose Use SSL.
  4. Once verified, tap Save.

Step 7 – POP3 users: Set “Leave a copy on the server”

If you chose POP3:

  1. Open Settings → Mail → Accounts.
  2. Tap your new account.
  3. Tap Advanced.
  4. Enable Delete from serverAfter 7 days (or 14 days).

This allows time for multiple devices to download messages while still keeping your server space clean.


Troubleshooting

  • Cannot verify server identity: Tap Continue and confirm you are using {YOUR-SERVER-ID}.ourcontrolpanel.com.
  • Can receive but cannot send: Ensure SMTP port 465 with SSL is enabled and authentication is on.
  • Password errors: Reset your email password in your hosting control panel and try again.
  • POP3 missing: Make sure you tapped Other and not Gmail/Outlook/iCloud.
