Automatic Account Setup (Recommended)

The Gmail app for Android will attempt to automatically configure your email account using EZBizMail’s secure Auto-Configuration system. In most cases, this allows you to set up your email without manually entering server settings.

  1. Open the Gmail app on your Android device.
  2. Tap Add another account.
  3. Select Other.
  4. Enter your Email Address and tap Next.
  5. Enter your Email Password and tap Next.
  6. Gmail will attempt to automatically detect and apply the correct server settings.

If automatic setup completes successfully, your email account is ready to use. If prompted for server details, continue using the manual setup instructions below.

Note: Auto-setup requires your domain’s Autodiscover / Autoconfig DNS records to be configured correctly. If Gmail is unable to complete automatic configuration, follow the Manual Setup Instructions below.

Emails stored in your Inbox and Sent folders are automatically retained for 180 days. Other system folders (such as Trash and Spam) are retained for 30 days to help manage disk usage. To keep messages longer, use POP3 to download and save a local copy, or when using IMAP, move messages into a custom folder such as “Saved Email”.

Manual Setup - Gmail App for Android – IMAP Setup

IMPORTANT: The Gmail app for Android only supports IMAP for custom email accounts. If you prefer POP3 (for permanent local storage or to reduce server usage), please use another app such as K-9/Thunderbird for Android or the Samsung Email app.

 

Overview

This guide explains how to set up your email account in the Gmail app on an Android device using IMAP with SSL/TLS encryption. Gmail can manage non-Gmail mailboxes using its “Other” provider option.

Replace {YOUR-SERVER-ID} with the server ID shown in your welcome email (example: ez22). Use your full email address, such as address@example.com.


Mail server settings

Incoming mail (IMAP)

  • Server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 993
  • Security: SSL/TLS
  • Username: address@example.com
  • Password: Your email password

Outgoing mail (SMTP)

  • Server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 465
  • Security: SSL/TLS
  • Authentication Required: Yes
  • Username: address@example.com
  • Password: Your email password

Step 1 – Open Gmail and start adding an account

  1. Open the Gmail app on your Android device.
  2. Tap your profile picture (top-right corner).
  3. Tap Add another account.

Step 2 – Choose “Other”

On the “Set up email” screen:

Select: Other


Step 3 – Enter your email address

Enter:

  • Email address: address@example.com

Tap Next.


Step 4 – Choose IMAP

You will be prompted to select account type. Tap:

Personal (IMAP)


Step 5 – Enter your password

  • Password: Your email password

Tap Next.


Step 6 – Enter IMAP (incoming) server settings

  • Username: address@example.com
  • Password: Your email password
  • IMAP server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 993
  • Security type: SSL/TLS

Step 7 – Enter SMTP (outgoing) server settings

  • SMTP server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 465
  • Security type: SSL/TLS
  • Require sign-in: Yes
  • Username: address@example.com
  • Password: Your email password

Step 8 – Finish and test

  1. Gmail will verify the settings.
  2. Choose notification and sync frequency options as desired.
  3. Tap Next or Done.
  4. Your inbox will begin syncing.
  5. Send a test message to yourself to confirm sending AND receiving works.

Troubleshooting

  • Cannot connect: Double-check server name {YOUR-SERVER-ID}.ourcontrolpanel.com, port numbers, and SSL/TLS settings.
  • Sending fails but receiving works: Make sure SMTP uses port 465 and that “Require sign-in” is enabled.
  • Account added as Google instead of IMAP: Remove the account and add again, selecting Other instead of “Google”.
  • Need POP3? Gmail App → does not support POP3. Use **Thunderbird/K-9** or **Samsung Email** instead.
