Automatic Account Setup (Recommended)

Outlook 2010 can automatically configure your email account using EZBizMail’s secure Auto-Configuration system. This is the simplest way to set up your email.

  1. Open Outlook 2010.
  2. Click FileAdd Account.
  3. Select E-mail Account and click Next.
  4. Enter your Name, Email Address, and Email Password.
  5. Click Next.
  6. Outlook will automatically discover and apply the correct server settings.

Once setup completes, your email account is ready to use without any manual changes.

Note: Auto-setup requires your domain’s Autodiscover / Autoconfig DNS records to be configured correctly. If automatic setup fails, follow the Manual Setup Instructions below.

Emails stored in your Inbox and Sent folders are automatically retained for 180 Days and other systems folders (Trash/Spam etc) are retained for 30 days to help manage disk usage. To keep messages longer, use POP3 to download your email and save a local copy or when using IMAP move messages into a custom folder such as “Saved Email”.

Manual Setup - Outlook 2010 (Legacy) – POP3 or IMAP Setup

Overview

This guide explains how to set up your email account in Microsoft Outlook 2010. Outlook 2010 fully supports both POP3 and IMAP, allowing you to choose the setup method that fits your needs.

POP3 vs IMAP – which should I choose?

  • POP3 (recommended for most users)
    • Downloads a copy of your email to your computer.
    • Keeps a long-term backup on your device.
    • Uses less server space.
    • You may leave messages on the server for 7–14 days so other devices can download them.
  • IMAP (recommended for multi-device users)
    • Keeps email on the server and syncs across all devices.
    • What you do on one device is mirrored everywhere.
    • Uses more server storage.

Mail Server Settings (POP3 & IMAP)

Replace {YOUR-SERVER-ID} with the server name shown in your welcome email.

Incoming mail (POP3)

  • Server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 995
  • Encryption: SSL/TLS
  • Username: address@example.com
  • Password: Your email password

Incoming mail (IMAP)

  • Server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 993
  • Encryption: SSL/TLS
  • Username: address@example.com
  • Password: Your email password

Outgoing mail (SMTP)

  • Server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 465
  • Encryption: SSL/TLS
  • Authentication: Required
  • Username: address@example.com
  • Password: Your email password

Step 1 – Open Account Settings

  1. Open Outlook 2010.
  2. Click the File tab.
  3. Select Info.
  4. Click Account SettingsAccount Settings…

Step 2 – Add a new email account

  1. Click New….
  2. Select Internet E-mail and click Next.

Step 3 – Choose POP3 or IMAP

Select the account type you prefer:

  • POP3 – recommended for backups & saving server space.
  • IMAP – recommended for multi-device syncing.

Step 4 – Enter incoming mail settings

POP3 Example

  • Incoming server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 995
  • Encryption: SSL/TLS

IMAP Example

  • Incoming server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 993
  • Encryption: SSL/TLS

POP3: Leave a copy of messages on the server (7–14 days recommended)

To allow other devices time to download your messages, enable:

  1. Click More Settings…
  2. Open the Advanced tab
  3. Under Delivery:
    • Check Leave a copy of messages on the server
    • Check Remove from server after X days
    • Set it to 7–14 days

Tip: If you want to save server space, do NOT set this number too high.


Step 5 – Enter outgoing (SMTP) settings

  • Outgoing server: {YOUR-SERVER-ID}.ourcontrolpanel.com
  • Port: 465
  • Encryption: SSL/TLS
  • My outgoing server (SMTP) requires authentication: checked
  • Use same settings as my incoming mail server: selected

Step 6 – Finish setup

Click Next and Outlook will test your settings. If everything succeeds, click Finish.


Troubleshooting

  • Invalid password: Reset your email password and update Outlook.
  • Cannot send email: Confirm SMTP is set to port 465 with SSL/TLS.
  • SSL warnings: Ensure you are connecting to {YOUR-SERVER-ID}.ourcontrolpanel.com.
  • Mailbox full: POP3 reduces server usage; IMAP users may need to archive old mail.
