EZBizMail provides business email hosting and related services. These Policies, Guidelines, and Terms apply to all customers using the EZBizMail platform. Host Express Limited operates the EZBizMail platform and provides all billing and underlying services. Customers are required to maintain valid and up-to-date contact information for all services purchased.

Age:

Must be 18 or older to use the Service.

Content:

All services provided through EZBizMail may be used for lawful purposes only. Transmission, storage, or presentation of any information, data, or material in violation of United States Federal, State, or Local law, or any regulation concerning private or sensitive information, is prohibited. This includes, but is not limited to: unauthorized use of copyrighted material, threatening or obscene content, unauthorized use of material protected by trade secret or other statute, and improper storage of financial or medical information. The subscriber agrees to indemnify and hold harmless Host Express Limited from any claims resulting from the use of the Service that cause damage to the subscriber or any other party.

Websites, email usage, account activity, or links promoting illegal acts or activities harmful to Host Express Limited, other providers, individuals, servers, or devices connected to the Internet are prohibited. Examples of unacceptable use include pirated software, hacker tools or archives, activity that interferes with normal server operation, and activity related to sending unsolicited email (Spam).

Email Usage and Retention:

Email stored in your Inbox and Sent folders are automatically retained for 180 days, emails in other standard system folders (Trash, Spam etc) are retained on the server for 30 days. If you need to keep any message longer, they should be moved to a custom folder or downloaded and saved on your device. This service is not intended to be used as a long-term email archive.

EZBizMail uses automated spam filtering and block list protection to reduce unwanted email. Host Express Limited reserves the right to block, filter, bounce, or discard email as necessary to maintain system performance and reliability. Email forwarding to external providers that block or reject messages from our servers may be disabled.

Traffic, Disk Usage, Statistics and Email:

The Service includes predetermined mailbox storage limits. Customers can review their usage through the control panel. Additional storage fees may apply if usage exceeds the limits of the selected plan. While EZBizMail is designed for professional email use, excessive resource consumption may result in temporary limits or a request for corrective action. Host Express Limited is the sole arbiter of what constitutes excessive usage.

Backups:

System-level backups are maintained for disaster recovery purposes only and are retained for approximately 7–10 days. These backups are not designed for individual message or mailbox restoration, and recovery of specific data is not guaranteed. Customers are responsible for maintaining independent backups of important emails or data stored through the Service.

Spam and Commercial Email:

Sending unsolicited email (Spam) using EZBizMail systems is strictly prohibited. Any mailing lists used with the Service must employ confirmed “double opt-in” verification. Customers must maintain proof of subscription and provide it upon request. Failure to do so may result in suspension or removal of mailing privileges.

Security:

Customers are responsible for maintaining the security of their login credentials, devices, and software used to access the Service. This includes using strong passwords, updating email applications, and ensuring reasonable security practices. Host Express Limited is not responsible for breaches, unauthorized access, or data loss resulting from insecure devices, outdated software, or weak passwords maintained by the customer.

Privacy and Data Protection:

Host Express Limited takes reasonable measures to safeguard data stored on EZBizMail systems. Customers are responsible for ensuring the lawful handling, transmission, and retention of any personal data processed through their accounts. We provide reasonable assistance with data access or export requests where required by law and where technically feasible.

Host Express Limited processes only the information necessary to operate and maintain the EZBizMail Service. Information such as account details, login information, and email data is handled as required to provide the Service, protect system security, and comply with applicable laws. Host Express Limited does not sell customer information. Use of the Service constitutes consent to this handling of information as described in the Terms and Conditions.

Billing:

The EZBizMail Service is billed by Host Express Limited according to the pricing and billing terms in effect at the time of your order or as updated from time to time. Pricing may be modified at any time, and continued use of the Service constitutes acceptance of updated pricing. Fees are due in advance for each billing period and are non-refundable unless otherwise stated.

Failure to make timely payments may result in suspension or termination of the Service. Host Express Limited is not responsible for data loss due to account suspension or termination resulting from non-payment.

Cancellations:

Customers may cancel the Service from their customer portal by selecting cancel service and following the instructions provided in their account. Cancellation requests must be received before the next billing period to avoid renewal charges.

Refusal of Service:

Host Express Limited reserves the right to refuse, suspend, or terminate service at its sole discretion. Accounts engaging in unlawful, abusive, or harmful activities may be suspended immediately.

Limitation of Liability:

Host Express Limited shall not be liable for any damages, including incidental or consequential damages, arising from email loss, service interruption, data corruption, unauthorized access, or any other issues related to the Service. We do not guarantee the integrity, permanence, or availability of stored email or data.

Disclaimer:

The Service is provided on an “as is” and “as available” basis without warranties of any kind. Host Express Limited does not guarantee uptime, performance, or error-free operation. Customers are responsible for their own data backups and for maintaining updated and secure software on their devices.

Governing Law:

These Terms are governed by the laws of the Commonwealth of Pennsylvania. Any legal action related to the Service must be brought exclusively in the state or federal courts located in Pennsylvania.

Privacy Policy

This Privacy Policy explains how personal information is collected, used, and protected when using the EZBizMail Service. Host Express Limited operates the EZBizMail platform and is responsible for billing and service management. By using the Service, you agree to the practices described in this Privacy Policy.

Information We Collect:

Host Express Limited collects the information necessary to provide the EZBizMail Service, including contact information such as name, address, email address, and payment details. Technical information such as login history, IP address, and device information may be recorded for security, troubleshooting, and operational purposes. Email content may pass through or be stored on our systems as part of normal email operations.

How Information Is Used:

Information collected by Host Express Limited is used to provide and maintain the Service, verify identity, perform billing, protect the security of our network, and comply with legal obligations. We do not sell personal information to third parties. Limited information may be shared with approved service providers for processing payments, providing technical support, or maintaining infrastructure as required to operate the Service.

Email Content:

Email messages are stored and transmitted as part of normal Service operation. Host Express Limited does not monitor or review the content of email except where required to resolve technical problems, address abuse complaints, comply with legal requests, or maintain the security and stability of the system.

Data Retention:

Email stored in standard system folders such as Inbox, Sent, Trash, and Junk is retained for 90 days. System-level backups are retained for approximately 7–10 days for disaster recovery purposes only. Since no system can ever be 100% Gaurenteed, customers are responsible for maintaining their own copies of any important data.

Data Protection:

Host Express Limited takes reasonable measures to safeguard data stored on EZBizMail systems, including access controls, system patching, and industry-standard security practices. No system can be guaranteed completely secure, and customers are responsible for maintaining the security of their devices, login credentials and local backup copies of any important emails.

Email Sending Limits and Acceptable Use:

To protect our mail infrastructure, ensure reliable delivery, and maintain the reputation of our sending networks, EZBizMail enforces reasonable limits on outgoing email. Messages sent through our platform are subject to hourly sending caps at multiple levels, including per email address, per domain, and per subscription. Currently, individual email addresses are limited to 25 messages per hour, domains to 50 messages per hour, and subscriptions to 100 messages per hour. These limits are automatically monitored and enforced.

EZBizMail is intended for standard business correspondence only. Bulk email, mass marketing campaigns, unsolicited messages (spam), automated mailing systems, and sustained or repetitive sending patterns that abuse or negatively impact our systems are strictly prohibited. Accounts engaging in such activity may be throttled, temporarily suspended, or terminated without notice. If sending limits are exceeded, message delivery may be delayed or blocked and notifications may be issued. Limits and enforcement actions are designed to support normal business use and may be adjusted or reviewed on a case-by-case basis at our discretion.

Third-Party Disclosure:

Personal information may be disclosed if required by law, court order, or valid legal process. Information may also be shared with trusted service providers involved in billing, fraud prevention, or essential technical operations. Host Express Limited does not share customer information with third parties for marketing purposes.

Customer Responsibilities:

Customers are responsible for ensuring the lawful handling of personal information stored or transmitted through their accounts. This includes compliance with applicable privacy regulations when storing contact lists, email content, or other personal data.

Changes to This Policy:

Host Express Limited may update this Privacy Policy from time to time. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
